How we calculated the real prices
Marketing pricing pages lie by omission. Our methodology turns the omissions back into euros — using only public sources, so every number on this site can be checked without trusting us.
First things first: who we are
We build YourPAZ — the tool that ranks first on this site. This is not a neutral third-party test lab, and we won't pretend it is. It's an editorial comparison written by people who build one of the products being compared.
That's exactly why this methodology is built the way it is: every criterion below is scored from public, checkable sources — the vendors' own pricing pages, plan-comparison tables, and addon documentation, plus our first-hand knowledge of YourPAZ itself. For each criterion we tell you where to look, so you can verify every row without taking our word for anything. Rankings and scores ("our score") are our editorial judgment; the euro amounts underneath them are arithmetic you can reproduce.
The feature parity baseline
Every tool in our analysis is priced at the tier needed to deliver a common feature baseline. The baseline:
- Task management with subtasks, dependencies, recurring tasks.
- Notes / docs (rich-text, sharing).
- AI features at parity (task drafting, summarisation, search).
- Basic integrations (Slack or equivalent, Google or Microsoft 365, email).
- EU data residency where the buyer is an EU organisation.
- DPA available without separate negotiation.
A tool that puts any of these behind a higher tier or addon is priced at the higher tier or addon, not the advertised price.
What we add
- AI addon — if AI is sold separately on top of the base subscription, we add it. Notion AI (€9), ClickUp Brain (€7), monday AI (Power-Up subscription).
- Seat minimum upcharge — if the cheapest plan has a minimum seat count above 1, we calculate the effective per-user cost at the minimum. monday.com Basic at €9/seat with 3-seat minimum = €27/month minimum for one user = effectively €27/user/month if you have one user.
- Enterprise gate — if EU residency, SSO, audit logs, DPA, or AI requires Enterprise tier, we price at Enterprise.
- Integration upcharge — if essential integrations (Slack, Google Workspace, Microsoft 365) require a higher tier, we price at that tier.
What we don't add
- Optional power-user addons that most users don't need.
- Vendor-specific consulting / training.
- Custom development.
- Storage overage (almost none of our finalists charge for it within reasonable use).
How to check every criterion yourself
We don't run a test lab or a user panel. Every input to the tables on this site comes from one of two places: the vendors' public documentation, or our own first-hand knowledge of YourPAZ (which we build). Per criterion, here is where the numbers come from and where you can verify them:
- Advertised price — the headline per-user price on the vendor's public pricing page. Verify: open the pricing page.
- AI addon — the vendor's own AI pricing page or plan-comparison table (e.g. Notion AI, ClickUp Brain are documented as separate per-user addons). Verify: the vendor's pricing or AI product page.
- Seat minimum — the vendor's pricing FAQ or checkout flow (monday.com documents its 3-seat minimum). Verify: the pricing FAQ, or start a checkout and watch the seat selector.
- Enterprise gates (EU residency, SSO, audit logs, DPA) — the vendor's plan-comparison table and security/trust pages. Verify: the "compare plans" grid, usually at the bottom of the pricing page.
- YourPAZ facts — from our own product: €9/month Premium with AI in the base price (no addon), EU hosting by default (Hetzner, Germany — no US cloud), no OpenAI or Anthropic in the production path, full Dutch interface (plus EN/DE/FR), offline-first Android app, self-host via Docker. Verify: yourpaz.com's pricing page and documentation — and for the pricing claim, simply note there is no addon to buy at signup.
Where a vendor's public information is ambiguous, we either leave the item out or mark it explicitly rather than guess. If you find a number that no longer matches the vendor's page, tell us via yourpaz.com and we'll correct it.
Refresh cadence
Prices on this site were taken from the vendors' public pricing pages in May 2026. When a vendor changes published pricing, we update the affected rows. Vendor pages remain the authoritative source for current numbers.
Ownership disclosure
This site is published by the team behind YourPAZ, and YourPAZ ranks first here. We don't earn affiliate commissions from the other tools listed; links to YourPAZ are links to our own product. The honest way to use this site is the way it's built: as a worked example of TCO arithmetic on public prices — re-run the sums, and draw your own conclusion.
